IT Support & Managed IT / Hubstaff

Understand where time goes. Plan work with greater clarity.

Hubstaff — Time Tracking & Workforce Management. Bring time records, project costs and team availability into a clearer view, with tools selected around the way your organisation works.

    Time records with a purpose

    Less reconstruction.
    More useful context.

When people work across projects and locations, an hours total only tells part of the story. Hubstaff helps connect recorded time with the tasks, budgets and availability behind it—so teams can review the work with a shared set of information.

Start with the question you need to answer. It might be how much effort a project requires, where workloads are building or how to replace manual timesheets. Discuss the relevant tools, licences and implementation scope with Orion before choosing a setup.

    Project-based businesses

Record time against client projects and tasks. Use the reviewed records to discuss scope, effort and future estimates alongside the actual deliverables.

    Distributed teams

Give people in different locations a consistent way to record and review work hours, with appropriate access for managers and team members.

    Operations and administration

Bring timesheet review, attendance information and available reports into a more consistent process instead of assembling disconnected records.

    Capabilities to fit your requirements

From tracking hours to understanding work.

Choose the features you need, not every setting available. Subscription tiers, add-ons, supported apps and your configuration determine which functions are included.

    01 / Time tracking & timesheets

Turn recorded time into useful timesheets.

Record work against projects, tasks and clients rather than reconstructing the week from memory. Supported desktop, browser and mobile tools let teams use a start-and-stop timer, with available manual-entry controls for corrections and additional context.

    • Create itemised timesheets from tracked hours
    • Add notes and review project or task allocations
    • Review submitted hours and manage timesheet approvals
    • Choose supported tracking tools around your devices and working arrangements

Tracking capabilities vary by app and device. Timesheet review and approvals should follow your organisation’s agreed responsibilities.

Hubstaff time tracking across supported devices

Keep project timers and time records within reach on supported desktop, web and mobile tools. The Hubstaff product illustration shows several available functions; location tracking is optional and should be assessed separately from everyday time recording.

    02 / Project budgets & costs

See the time behind your project costs.

Relate recorded hours to configured project budgets, cost rates and billable work. Compare how time is being used with the work you planned, so a change in scope or a growing workload can be discussed with better context.

    • Track time at project and task level
    • Review budget progress and recorded project spend
    • Use available budget limits and alerts
    • Use historical time records to inform future estimates

Budget and cost information depends on accurate time entries, rates and configuration. It is not a substitute for your accounting records.

Review recorded effort alongside configured budgets and cost information. This Hubstaff interface illustration includes billing functions; the Orion solution described here focuses on time, project costs and reporting—not payment processing.

    03 / Attendance & leave

Give schedules and availability a shared view.

Bring supported shift scheduling, attendance and time-off tools together so managers can consider who is available alongside the work ahead. Employees can use supported mobile tools to view schedules and request leave.

    • Review scheduled work and attendance records
    • Manage time-off requests and recorded absences
    • Account for breaks and shift exceptions where supported
    • Consider availability when assigning project work

Attendance, scheduling and leave functions depend on the selected subscription and settings. Employment entitlements and payroll rules need separate assessment.

    A practical example

    Plan with availability in view.

Before assigning a new project, review your agreed schedules and recorded leave alongside current commitments. Discuss any gaps with the team rather than relying on tracked hours alone.

Illustrative workplace use—not a customer case study or an automated staffing decision.

    04 / Reports & workforce insights

    Look beyond an hours total.

Use time and project reports to explore workload patterns and where effort is going. Available workforce analytics can add context about utilisation, focus time and capacity, helping managers ask better questions rather than judge work by an activity score alone.

    • Review time by person, project or reporting period
    • Share and export available reports
    • Consider recorded hours alongside project costs and work delivered
    • Explore advanced utilisation and capacity insights where licensed

Advanced Insights and workforce analytics may require a separate add-on or subscription tier. Activity measures are not proof of work quality or an employee’s overall contribution.

    Hubstaff workforce analytics

Explore patterns in focus time, recorded activity and the use of work tools with the appropriate Hubstaff analytics subscription. These measures need the context of each role and the work delivered, rather than being treated as a complete measure of performance.

    05 / Integrations & API

Connect time records with the tools you use.

Hubstaff offers integrations and API access for supported business-system connections. Start with the information you need to exchange, which system owns it and who should be able to access it before selecting a connector or considering a custom integration.

    • Assess supported project-management and business-tool connections
    • Explore API-based reporting and agreed data handovers
    • Define permissions, mappings and exception handling
    • Confirm account access, licences and testing before rollout

Compatibility and included functionality vary by integration and plan. A connection to Orion AI, DocuKit, Dokmee ECM or your finance system is not assumed or activated.

    Start with the information handover.

    1. Define: which time or project information needs to move?
    2. Check: is there a supported integration or suitable API access?
    3. Agree: who owns permissions, testing and ongoing maintenance?

    From record to conversation

    A clearer view.
    A considered next step.

Explore a practical time-management journey. This is an explanatory guide—not a live dashboard or an automated decision about your people.

    Track

Record time in the context of the work.

Choose the relevant project or task and use the agreed tracking method. Notes and clear task names help the record explain what the time relates to.

    Keep in mind

A shared structure for time entries, not a separate spreadsheet for every team.

    Purpose, transparency and control

    Visibility should support people.

Time tracking and detailed employee monitoring are different choices. Begin with the least information needed to meet your business requirement, and assess additional tracking features separately.

Before rollout, explain what will be collected, when it is collected, who can access it and how it will be used. Review the applicable Australian workplace-surveillance and privacy requirements, including any notice or consent obligations, with appropriate advice.

Use role-based permissions and agree access, retention and review responsibilities. Do not assume software settings alone make a deployment legally compliant.

    Activity levels

Available keyboard and mouse activity rates indicate interaction with a device, not the value or quality of the work. Hubstaff states that it does not log the content of keystrokes.

    Application and website usage

Optional app and URL records can help explain how tracked time is allocated. Define which information is needed, what should be excluded and who can view it.

    Screenshots

Screenshots are optional and can be disabled or blurred using supported settings. Consider confidential documents, personal information and the work being done before enabling them.

    Location information

Supported mobile location tools may be relevant for field work. Assess them separately, explain their purpose and collection conditions, and do not assume office or remote workers need location tracking.

Managers should consider responsibilities, deliverables and employee feedback alongside any recorded metrics. A low activity rate is not, by itself, evidence of poor performance. Covert monitoring is not part of the approach described here.

    Agree the fit before rollout

    Start with your team.
    Then choose the setup.

Talk to Orion about the records you need, your devices, current software and how time is reviewed today. Our broader technology advice, software purchasing and configuration services provide a starting point for discussing what support is appropriate.

Hubstaff licensing, setup, integrations, training and ongoing support need to be scoped and agreed separately. This page does not describe a predefined implementation package or activate tracking on any device.

The solution presented here covers time and workforce information. It does not offer Orion-operated payroll, employee payments or statutory payroll filings.

    • Identify teams, projects, devices and the reason for recording time.
    • Confirm the subscription, optional add-ons and supported apps.
    • Agree timesheet review, corrections and approval responsibilities.
    • Assess monitoring settings, staff communication and legal requirements.
    • Define access permissions, retention and reporting needs.
    • Test agreed integrations and confirm handover and support scope.
