    VoIP

Modern business communications. Flexible, scalable calling for the office, remote staff and distributed teams.

    Cloud-hosted business communications

    Why Switch to VoIP?

Voice over Internet Protocol converts voice into digital data and carries calls over an internet connection. It provides an alternative to a phone system tied to traditional copper lines and a single office location.

Orion helps businesses consider cloud-hosted VoIP and mobility alongside their wider technology needs. Choose a configuration that connects your team and customers while keeping features, costs and support requirements understandable.

Business telephone equipment for office communications

    Lower Costs & Scalability

Review calling capacity as your business changes. Compare setup, equipment, subscriptions and maintenance with your existing arrangement instead of assuming a fixed saving.

    Mobility & Portability

Help supported users stay connected to their business number beyond a fixed desk. Remote calling depends on compatible devices, applications and connectivity.

    Cloud-hosted calling

Bring business calling into a hosted environment with call-handling options suited to your organisation. Confirm the platform, service plan and configuration with Orion.

    Business phone-system capabilities

Help callers reach the right people

Combine practical call handling with communication tools that support your team. Features vary by platform, device, licence and service plan.

    Call routing & forwarding

Direct calls to the appropriate person or team, with forwarding and redirection configured around how your business answers enquiries.

    • Route incoming calls through agreed destinations
    • Redirect calls where supported by the selected system
    • Plan calling arrangements for different teams and locations

    Auto attendants

Give callers a structured way to reach the right part of your business. Recorded prompts and menu options direct calls without requiring every enquiry to pass through a person first.

    • Guide callers using a phone menu
    • Connect selections with configured call destinations
    • Keep call handling consistent with your business structure

    Voicemail to text or email

Make missed-call messages easier to follow up by delivering voicemail information through supported text or email functions.

    • Receive voicemail through supported delivery options
    • Keep messages available for follow-up
    • Confirm transcription and delivery features for your selected plan

    Remote & mobile calling

Make and receive calls using your business number away from a fixed desk, with compatible devices or applications and a suitable internet connection.

    • Support staff working away from the office
    • Use compatible mobile or desktop calling options
    • Confirm device support and calling permissions before rollout

    Video calling

Support face-to-face conversations between distributed colleagues where video communication is available in the chosen platform.

    • Connect supported users through video
    • Consider connection quality and device requirements
    • Confirm licensing and platform compatibility

    Connections to business software

Explore ways to connect calling with compatible business tools, including CRM platforms, where the phone system and software support the required integration.

    • Assess compatibility with your existing systems
    • Define the information or actions that need to connect
    • Agree integration scope and permissions before implementation

    Connected workplaces

Communications around the way your team works

Choose call handling that reflects where your people work, how customers contact you and how enquiries are passed between teams.

Colleagues coordinating work and customer communication

    Office-based teams

Use auto attendants and routing to direct callers to the right destination, with voicemail handling for messages that need follow-up.

    Hybrid & mobile staff

Let supported staff make and receive business calls away from a desk, subject to device compatibility and their connection.

    Growing organisations

Review users, locations and calling capacity as the business changes. Keep equipment, licences and recurring costs aligned with what your team needs.

    VoIP packages & equipment

Choose the way your people make calls.

Cloud-hosted calling places phone-system functions in a hosted environment rather than relying solely on equipment in your office. The right setup still depends on your users, devices, internet connection and agreed service configuration.

Orion helps you consider the calling service, equipment and support together. A package should reflect the work your team does, with its features, call inclusions and recurring commitments confirmed before you proceed.

    Compatible desk phones

A physical handset can suit reception areas, shared workspaces and people who prefer a dedicated phone. Choose equipment around the person answering calls, not just the number of desks.

    • Check supported models, headsets and network connections
    • Assess existing handsets before deciding whether they can be reused

    Softphones for flexible working

A softphone is an application for making and receiving business calls on a supported computer or mobile device. It can help staff use their business number away from a fixed desk.

    • Confirm supported applications, devices and licences
    • Review headset quality, access permissions and internet connectivity

    A mix for different roles

Your receptionist, office team and mobile staff may need different calling arrangements. Consider compatible handsets and applications together while keeping the customer-facing call flow clear.

    • Map users and devices to their day-to-day responsibilities
    • Confirm how calls move between teams, locations and supported devices

    Users and simultaneous calls

The number of people using the system is not the same as the number of calls happening at once. Review busy periods and incoming and outgoing demand so capacity can be assessed.

    Numbers, locations and call flows

Identify the numbers customers use, where calls should ring and how unanswered calls are handled. Include reception, remote workers and any shared team numbers.

    Calling allowances and exclusions

Check which local, national and Australian mobile calls are included. Review international, premium and other excluded call types rather than assuming an unlimited allowance covers every destination.

    Equipment, licences and responsibilities

Confirm device compatibility, licence requirements, setup, ongoing support and contract terms. Reusing equipment or adding an application may require configuration or a separate licence.

    Discuss your VoIP setup

    Existing numbers & changeover

Plan around the numbers your customers know.

If keeping an existing business number matters, raise it before selecting or cancelling a service. Number transfer eligibility, authorisation, timing and any related services need to be checked for your particular setup.

    1. 01

      Review the existing service

Prepare the numbers you want to retain, current provider details and account information. Identify broadband, alarms, fax or other equipment that may depend on the service you intend to change.

    2. 02

      Confirm transfer requirements

Discuss whether the numbers can be transferred, what authorisation is required and how the selected provider handles the change. Eligibility and timing cannot be assumed.

    3. 03

      Agree the changeover and checks

Agree the changeover arrangements and responsibilities before disconnecting anything. Check incoming and outgoing calling, routing and voicemail once the new configuration is in place, and discuss arrangements for any interruption.

Telstra Mobile — Voice & Data

Keep your people connected beyond the office.

Orion works with major mobile network providers, including Telstra, through direct reseller agreements. We help you explore mobile calling and data packages around your people, working locations and day-to-day communication needs.

Mobile voice uses the mobile network; VoIP carries business calls over an internet connection. They can support the same team in different ways, but a mobile plan does not automatically include a business VoIP system or its call-handling features.

    Discuss Mobile voice & data

    Coverage for your working locations

Consider where staff make calls and use data, including travel and indoor working environments. Confirm local coverage and device compatibility before selecting a plan.

    Calling that fits your team

Review mobile usage alongside office numbers, business call routing and remote VoIP access. Agree the required services and configuration rather than assuming they form one bundle.

    Fixed connectivity for your workplace

Business fibre and nbn are separate fixed-internet options. Consider them alongside mobile requirements and the connection that supports your office phone system.

Voice & data for mobile staff

Bring mobile calling and internet access into the same plan where available. Consider staff travelling between sites, taking customer calls and accessing business applications away from the office.

    • Confirm included call types and excluded destinations
    • Check the data allowance and supported device requirements

    Telstra-network 4G & 5G options

Discuss mobile plans using the Telstra network, with 4G or 5G access according to the chosen service. Network access does not mean every location or device will deliver the same experience.

    • Check coverage at work sites and regular travel locations
    • Confirm device compatibility, plan access and any speed limits

    Allowances around actual usage

A field technician using job information may have different data needs from someone joining video meetings or transferring large files. Review typical usage and busy periods before selecting allowances.

    • Consider cloud applications, video and tethering where permitted
    • Review what happens when an allowance is reached, including any charges

    Sharing across eligible services

Some packages allow eligible services to draw from a shared data pool. This may suit teams with different usage patterns, but eligibility and pooling rules must be checked before combining services.

    • Confirm which plans and services can share data
    • Check pool limits, billing arrangements and how usage is managed

    Unused-data carry-over

Where a plan supports carry-over, eligible unused data can remain available for a later period. The amount retained, how long it remains valid and how it is used depend on the selected package.

    • Confirm carry-over caps, expiry and renewal requirements
    • Check what happens if a service or plan is changed

    Terms that fit your requirements

Ask about month-to-month options alongside any other available terms. A flexible service agreement does not automatically remove equipment repayments, notice requirements or other obligations.

    • Confirm minimum terms, changes and cancellation conditions
    • Agree setup, ongoing support and any equipment commitments
Explore Data — business fibre & nbn

Mobile options are subject to availability, eligibility and the selected provider’s terms. Data sharing, carry-over, network access and contract flexibility are plan-dependent, not standard inclusions. Orion will confirm the available package, charges, equipment and support arrangements before you proceed. Coverage and uninterrupted service are not guaranteed.

Plan the change before connecting the phones

A suitable phone system starts with an understanding of your users, call flows and working locations—not just a list of features.

    1. 01

      Understand your calls

Review how customers reach you, who answers, the locations involved and the messages or handovers that need attention.

    2. 02

      Confirm the fit

Check internet connectivity, compatible devices, required licences, access controls and any connections to business software.

    3. 03

      Agree deployment & support

Define configuration, installation and user-support needs. Confirm the service scope and calling features before implementation.

    Connectivity and continuity matter

Internet-based calling depends on power, network access and the chosen service. Discuss outage arrangements, remote access and any requirements for emergency calling or existing phone-connected equipment with Orion before changing your setup.
