Bring printing, copying and scanning into an authenticated environment. Give employees practical document workflows and give your organisation a clearer view of how devices and budgets are used.
Know who prints, what is used and where it belongs
Epson Print Admin (EPA) is an on-premises, server-based print-management solution. It combines user authentication, follow-me printing, scanning and cost allocation so output is managed as part of your business operations.
In shared offices, authentication helps keep confidential documents from being left in a collection tray. For finance and IT teams, reports connect output to people, departments and projects, supporting informed decisions about allowances and fleet use.
Print Admin manages access and usage. It is distinct from MPS Monitor’s fleet status, meter-reading and consumable monitoring, and Epson Connect’s internet-based printing and scanning services.
Controlled printing in shared workplaces
Authenticate at a compatible Epson device before collecting selected documents or using authorised scan and copy functions. Match access methods and responsibilities to your organisation.
Features for employees, administrators and accounts teams
Combine document access controls with everyday convenience and meaningful reporting. Available functions depend on compatible hardware, software version and the agreed configuration.
01
User authentication
Identify the person at the device before they use authorised print, copy or scan functions. Choose an authentication approach that fits your workplace.
Supported card readers and staff ID cards
Login credentials or PIN codes
User profiles and permissions for device use
02
Confidential print release
Hold a submitted document until its owner authenticates and selects it for printing. This helps limit unattended documents in shared output trays.
Release selected jobs at a compatible device
Keep confidential output under the user’s control
Avoid printing forgotten or unwanted jobs
03
Follow-me printing
Store jobs on the Print Admin server so users can collect them from a compatible device they are authorised to use, rather than being tied to one printer.
Submit a job before choosing the collection device
Authenticate and select the required document
Plan participating devices, permissions and print settings
04
Personalised scanning
Send scanned documents to the authenticated user or an agreed folder, making repeat document tasks easier to complete.
Scan and send to me by email
Home-folder and designated-folder destinations
Automatic file naming and supported scan formats
05
Print rules & allowances
Apply policies by job type, user or group and device. Use print allowances to make output choices more deliberate.
Built-in and custom rules for your print environment
User and device quotas
Cost settings that reflect device and output requirements
06
Cost centres & billing codes
Allocate print, scan and copy activity to the teams, projects or clients that use it, supporting internal cost recovery and budget review.
Billing codes entered at compatible multifunction devices
Track users, departments, projects and cost centres
Report activity for internal accounting and allocation
07
Usage reporting
Understand document output at individual, departmental and organisation level before adjusting devices or allowances.
User, group, device, billing and system reports
Custom reporting for specific analyses
Scheduled reports delivered by email and supported export formats
08
Web-based administration
Manage printing, copying and scanning through a central browser-based interface rather than separate controls for each task.
Manage users, policies and device settings
Review output volumes and operational information
Administer the environment according to assigned responsibilities
09
Personalised device functions
Present relevant functions to authenticated employees, helping them reach regular tasks without searching through unnecessary options.
User-profile-based interfaces on compatible devices
Quick access to personal scan destinations
Functions matched to the person’s responsibilities
10
Responsible-printing notifications
Give users a useful prompt when a print job meets a configured rule, such as unnecessary colour output or a large document.
Notifications at print-job creation
Education linked to your organisation’s print policies
Review behaviour alongside usage reports, without assuming fixed savings
11
Directory integration
Plan how existing user identities will connect to the print environment. EPA supports directory-based environments as well as setups without LDAP.
Active Directory and supported LDAP configurations
Align identities and permissions with your IT environment
Confirm directory, server and software-version compatibility
A deliberate path from print job to collected document
Follow-me printing lets users choose an authorised collection device. Print release and reporting support different needs: the employee controls their output while administrators can review usage.
Submit → Authenticate → Release → Review
Illustrative workflow — configured around your devices and business process.
1
Submit the job
Send the document to the managed print environment, where the server holds the job.
2
Identify the user
Use a supported card reader, login or PIN at a participating compatible device.
3
Select and release
Choose the documents to print instead of automatically producing every submitted job.
4
Review usage
Track activity against users, groups or agreed billing codes and review policies over time.
Epson Print Admin Serverless
A device-based alternative for compatible equipment when you do not want to maintain a dedicated Print Admin server.
Authentication and follow-me printing
Print Admin Serverless provides authenticated printing, scanning and copying using supported card readers, credentials or PINs. Its device-based follow-me approach supports collecting print jobs through a compatible configured environment.
Supported models, participating-device arrangements, firmware and licensing must be checked for your installation.
Choose by your management requirements
Server-based EPA and EPA Serverless are different deployment choices. Consider the scale of the fleet, identity management, reporting, cost recovery and the workflows you need before choosing.
Do not assume that server-based reporting, quotas, integrations or Advanced Workflows are included in a Serverless setup. Orion can confirm the available functions for your devices.
Advanced Workflows: an optional enhancement
Extend supported scanning tasks with an additional licensed service rather than treating advanced processing as part of every EPA installation.
Optional licensed feature
OCR & searchable PDFs
Recognise text in scanned documents and produce searchable PDFs, helping teams retrieve information without reading every image-based page.
Optional licensed feature
Connected scan destinations
Extend document routing to supported cloud-storage workflows as well as agreed email and folder destinations. Available services depend on the selected configuration.
Optional licensed feature
Print cloud-stored files
Access supported cloud-stored files for printing through the optional workflow service, with the necessary accounts and permissions configured.
Advanced Workflows requires its own licence. Confirm the current version, supported destinations, internet requirements and any third-party subscriptions before deployment. OCR accuracy depends on document quality and settings.
Confirm supported server and client systems, capacity, network requirements, licensing and any optional workflow services.
Evaluation offers, supported operating systems and licence terms can change. Orion will confirm current requirements; no evaluation duration or fixed saving is promised here.
