Capture, prepare, name and route business documents with a compatible Epson scanner or multifunction device. Build repeatable scanning jobs around the records your team handles every day.
A practical first step into digital document workflows
Document Capture Pro connects scanning with the preparation and delivery of electronic records, so capture is more than creating another file on a desktop.
Use saved jobs to capture regular paperwork, separate batches into records, apply naming rules and send files to a defined destination. The desktop client supports review and editing before you save or share the output.
Choose a dedicated scanner for individual originals or large batches, or a compatible multifunction device for a shared office workflow. The capture software, connection and device need to be specified together.
Document Capture Pro prepares and routes information. It is not a complete enterprise content repository, an invoice approval system or the same product as Epson Print Admin and Epson Connect.
Bring scanning and post-scan preparation into one working process. Select the right job, check the captured pages and use agreed output settings to deliver a record your colleagues can work with.
Features that make repeat scanning more consistent
Combine capture settings, image preparation, document identification and delivery. Functions vary by device, edition and software version.
01
Reusable scan jobs
Save the settings for a recurring task so staff do not have to rebuild the scan process for each batch.
Define scan, save and destination settings in a job profile
Use one-touch or supported device-panel push scanning
Up to 30 job profiles on supported versions; confirm the limit for your selected configuration
Keep profiles aligned with the documents and destinations your team uses
02
Image preparation
Review and improve captured pages before sending them onward. Document imaging helps make records clearer for people and OCR processing.
Edit and enhance scanned images with supported tools
Use colour enhancement or colour dropout where available
Skip blank pages according to the configured scan settings
03
Batch separation
Split a stack of originals into separate records rather than manually saving every document after scanning.
Use supported barcode, patch-code or blank-page separation
Apply form recognition or zonal OCR separation where supported
Choose separation rules for your software edition and document layout
04
Naming & indexing
Give files and folders meaningful identifiers using recognised information, making the output easier to file and retrieve.
Use barcode values or zonal OCR for supported naming rules
Configure folder and filename conventions
Review recognised values before relying on them in business records
05
Searchable PDFs
Convert scanned text into searchable information rather than keeping every page as an image that must be read individually.
Searchable PDF output in supported Document Capture Pro configurations
OCR results depend on source quality, layout, language and settings
Confirm OCR availability separately for desktop and server deployments
06
Flexible file output
Select a file format suited to the receiving team or system, not just the scanner’s default output.
Supported formats include BMP, JPEG, TIFF, multi-page TIFF, PDF and PDF/A
Dual image output is documented for supported capture-suite configurations
Editable Office output requires the applicable optional OCR functionality
07
Scan-to destinations
Send a captured record to its next working location instead of leaving it in a disconnected local folder.
Configured folder, email and FTP destinations
Supported SharePoint, WebDAV and cloud connectors
Scan-to-printer tasks on supported Epson configurations
08
Capture for business workflows
Prepare documents for onward filing, review and use within an agreed document-management process.
Combine naming, separation and delivery in one defined job
Confirm destination permissions and connector compatibility
Keep capture distinct from repository permissions, retention and approval decisions
Give paper records a defined digital destination
Capture the originals
Choose a saved job and scan the documents using a compatible feeder or flatbed. Match resolution, colour and paper handling to the records involved.
Prepare the record
Review captured pages and apply supported imaging, separation, naming and OCR settings. Check that the right pages belong together before continuing.
Save and deliver
Save in the required format and route the record to a configured destination. Check the receiving location so the next team can retrieve it.
Scan → Identify → Check → Deliver
Illustrative workflow — configured around your devices and business process.
1
Scan
Capture the originals using the agreed job and device settings.
2
Identify
Separate records and apply supported barcode or OCR-based naming rules.
3
Check
Review images, extracted values and destination permissions.
4
Deliver
Save and send the electronic record into the agreed business process.
Choose the capture edition for your workplace
Desktop capture and centrally managed scanning are different deployment approaches. Select the edition around users, devices, access requirements and the functions you need.
Windows desktop capture
Document Capture Pro
A client application for individual scan, save and send tasks, with reusable profiles, post-scan editing and supported document processing. Confirm the current version for your scanner and operating system.
Mac desktop capture
Document Capture for Mac
The related Mac capture application supports document imaging, saving and routing on eligible devices. It is not the Windows application, and feature parity—particularly OCR and device-panel jobs—must be checked.
Shared-device capture
Document Capture Pro Server Standard
Centralise supported push-scan jobs for shared equipment without installing the capture client on each user’s workstation. Manage device-panel functions and job profiles around departments and destinations.
Centrally controlled access
Server Authentication Edition
Adds supported user management, logins and scanning access controls to the server approach. LDAP, ID-card and PIN administration and tap-and-go scanning require compatible hardware and an agreed identity configuration.
Shared scanning with central administration
Define scanning jobs and destinations for shared equipment rather than maintaining a separate client for every employee. Add identity and access controls when the selected authentication edition and devices support them.
Choose the output and connections your team needs
Optional functionality
Enhanced OCR & editable Office files
Standard supported OCR workflows can create searchable PDFs. Optional Enhanced OCR adds conversion to editable Word, Excel and PowerPoint formats in eligible configurations, reducing the need to retype information.
Confirm the required option or licence. Complex tables, handwriting, image quality and original layouts can affect recognition and formatting; review extracted text and figures before using them.
Folders, email, FTP & connected systems
Route records to configured folders, email or FTP destinations, and use supported SharePoint, WebDAV or cloud connections where available. Some historical connectors may no longer be supported in current versions.
A named destination is not an activated integration. Accounts, permissions, network access, connector versions and any separate service subscriptions must be agreed and tested. SDK or plug-in work is a separate implementation consideration.
Capture around the work behind the paperwork
Accounts documentation
Capture invoices and supporting records, separate the batch and route files to an agreed finance location. Matching, approvals and payment remain part of the wider accounts process.
Employee and contract records
Apply consistent names to scanned forms and agreements, then send them to a controlled destination for authorised filing and review. Access and retention are governed by the receiving system.
Shared departmental scanning
Offer supported device-panel jobs for regular tasks. Choose server-based administration when shared equipment and central job management suit your team.
Connect capture with content management
Define how prepared documents will reach a repository or workflow. DocuKit and Dokmee ECM cover subsequent information-management tasks, but a direct connection must be supported and specified—not assumed.

Specify the scanner, software and workflow together
Confirm your document types, volumes and receiving systems before choosing the capture configuration.
01
Check the device
Confirm the exact scanner or multifunction model, its connection and currently supported software. Print-only devices cannot provide document scanning.
02
Agree the capture rules
Define profiles, file formats, separation methods, naming, OCR, permissions and the people responsible for checking output.
03
Test the destination
Confirm operating-system and server requirements, licences, accounts and connectors. Test representative documents before routine use.
Software support changes over time. The Australian compatibility list includes selected WorkForce scanners and multifunction ranges, but inclusion of one model does not establish support for every device in its family. Confirm current hardware, firmware, OCR and edition requirements with Orion.
